One stage, several names
KakoBuy's help pages use different words for the same moment in an order. The purchase-order article says [Has been stored], the return article says "Stocked in", another says [Warehouse], and the shipping instructions say "Can submit the waybill". The first job in reading any status is to match it to a stage; the second is to note the stage's date, because deadlines hang on it.
A waybill, in KakoBuy's usage, is the international shipping request for a parcel. "Submit the waybill" therefore means choose an address and line, then pay the freight. Our shipping page lists the lines and quotes, and the first-order guide walks through the screens.
Match each status word to a stage, then write down the date.
Purchase-order statuses KakoBuy defines
| Status as written | Meaning given | Article |
|---|---|---|
| Pending payment | Order generated, no payment yet; you can pay in this state | 80 |
| Paid | Payment succeeded; before purchase you can ask support to cancel | 80, 87 |
| Purchased / Processing | KakoBuy is buying or has bought; seller has not delivered; KakoBuy can cancel | 80, 87 |
| Shipped / Mailed | Seller has shipped, goods not yet at the warehouse; return is negotiated with the seller | 80, 87 |
| Has been stored / Stocked in / Warehouse | Goods reached the warehouse for signing, then shelving after inspection and weighing; starts the 5-day return window | 80, 51, 87 |
| Available for shipment / Can submit the waybill | Item can be submitted for international shipping | 80, 84 |
| Signed for | Start of the 60-day clock for abnormal forwarding parcels | 1 |
Notice that the slash entries are our pairings of names from different articles. KakoBuy does not publish a single table that links them, so the pairing is an inference from the context each article gives.
Seven stages cover a purchase; each has two or three names.
Forwarding statuses and unsuccessful dispatch
For international transit orders, the help centre lists four statuses:
- To be paid: the transit order is submitted, waiting for payment.
- Paid: KakoBuy is handling the order, picking up items and repacking them.
- Shipped (International): the parcel is on its way to the destination.
- Received: the recipient has received the parcel and confirmed the items.
"Unsuccessful Dispatch" is a tracking message rather than an order status. KakoBuy says the courier tried to deliver but nobody signed, and that a local carrier handles the delivery, so contact that carrier first. If the parcel arrives without a prior order, the status can only be checked once you place an order with full parcel and goods details. See the storage page for the clock that starts at signing.
Four forwarding statuses end at Received; delivery problems show up as tracking messages.
Terms KakoBuy's help pages don't define
Some labels that readers ask about are not explained in any of the 142 help articles we read. Where the help text supports a meaning, we say so. Everywhere else the right-hand column is our reading, labelled as such, and you should ask support before acting on it.
| Term | Defined by KakoBuy? | Our reading |
|---|---|---|
| Paid pending | No | Probably payment made, purchase not yet started; closest defined stage is Paid |
| Storing | No; "in storage" and "Has been stored" are | Probably the same stage as in storage |
| Submission of waybill | Partly; "submit waybill" is a button and status | The shipping request step |
| Rehearsal (pre-packing) | Pre-packing is (¥18, weight within 24 hours); "rehearsal" is not | A translated label for the pre-packing service |
| Dismantling the board | No | Unclear; possibly removing packaging boards during repacking |
| Export customs clearance completed | No | Probably the parcel has cleared Chinese export customs |
| Folded outer packaging | No | Unclear; possibly a flattened or reduced box to cut volume |
The pre-packing service is documented: it costs ¥18 per time, and KakoBuy updates the parcel weight within 24 hours and sends the figure through an order message. Anything else in this table should be treated as guesswork until KakoBuy confirms it.
Pre-packing is the only defined term in this list; ask about the rest.
Where to track an order
Tracking has two legs. For the seller leg, KakoBuy announced Original Order Tracking on 22 October 2025: use your purchase order number, which sits in the order area of the User Center, to see shipping, dispatch or delivery progress on the seller side. The App Store notes for version 1.0.72 mention showing the original purchase ID, which fits this feature; see the app page.
For the international leg, log in, open My Parcel and click Logistics Details. KakoBuy warns of a lag because several parties are involved. On 24 September 2025 it announced that tracking had been restored after an overloaded interface server, so a blank tracking page has happened before. The not-working page keeps that timeline.
- Find the order number: OG for purchases, S for parcels.
- Check the status on the website, then compare with the app.
- Wait a day for a lag before assuming a loss.
- If nothing moves, quote the order number to support.
Two numbers, two legs: the purchase order number first, the parcel number second.
What a status means for money and deadlines
| Stage | Cancel | Clock |
|---|---|---|
| Paid | Contact support | None stated |
| Processing | KakoBuy cancels; money to balance | None stated |
| Mailed | Negotiated with seller | Seller refund 7 to 15 days after seller confirms |
| Stocked in | Return request, seller must agree | 5 days to request; 100 days storage |
The 5-day return window starts at the stock-in stage and lasts 120 hours. Storage is free for 100 days. Cancelling follows the status: at Paid you contact support, at Processing KakoBuy cancels and returns the payment to your KakoBuy account balance, and at Mailed it negotiates with the seller. Because refunds go to the balance, pay each order when you place it. If you are unsure which stage you are in, the QR code on the contact page reaches us if you want a second read, or see the refunds page for fees.
The stock-in date starts both the return clock and the storage clock.
Questions buyers ask
What does "Can submit the waybill" mean on KakoBuy?
It means the item has been inspected, weighed and shelved, so you can request international shipping. KakoBuy's help pages describe the "ARRIVED" stage, followed by inspection and measuring, after which the status becomes "Can submit the waybill" in My Order. Only goods that have actually reached the warehouse can be selected; you then pick an address, a line and pay the freight.
Is "Processing" the same as "Purchased" on KakoBuy?
Probably, although the pages do not say so. The refund article defines [Processing] as the stage where KakoBuy's purchase is complete and the merchant has not yet delivered the goods, while the order-description article defines [Purchased] as purchasing in progress or done and waiting for the merchant to deliver. The two readings overlap, so treat them as one stage when planning cancellations.
Where do I find tracking after my KakoBuy parcel ships?
KakoBuy's help centre says to log in to the member center and click Logistics Details under My Parcel. It adds that international logistics involves several parties, so updates lag, and that if the system cannot show details, KakoBuy supplies another lookup address. The Original Order Tracking feature, announced 22 October 2025, covers the seller-side leg using your purchase order number.
What does Unsuccessful Dispatch mean?
KakoBuy says it means the courier tried to deliver the parcel but nobody signed for it, because the recipient was unavailable or for another reason. The parcel is delivered by a local carrier, so the help centre tells you to contact that carrier for details. It also says customer service can check with the carrier. Make sure the phone number on the parcel is correct.
Why does my status say something KakoBuy never explains?
Some labels, such as "paid pending" or "export customs clearance completed", are not defined in any of the 142 help articles we read on 12 October 2026, so we cannot say what KakoBuy means by them. Do not guess when money or a deadline depends on it. Quote the exact wording and the order number, starting with OG for purchases, when you ask support.
Does the order status change my return or storage deadline?
Yes. The 5-day (120-hour) return window and the 100-day storage clock both depend on the stock-in stage, which different pages call "Stocked in", "in storage" or "Ready for Shipping". Record the date an order first reaches that stage. Cancelling before the warehouse stage follows other rules: contact support when the status is Paid, and KakoBuy cancels at Processing.
